On-Premise vs Cloud PBX: Which Fits a Kenyan Business?

On-prem gives you control and calls that survive an internet outage. Cloud removes the server and the maintenance. How to decide for an office in Kenya.

    On-Premise PBX

An on-premise PBX is a server or appliance in your comms room. You own it outright, there are no per-user monthly fees, and internal calls keep working on the LAN even if the internet link drops. The trade-offs are the up-front hardware cost, the need for a UPS and a cool cupboard, and the fact that upgrades and backups are your responsibility.

    Cloud / Hosted PBX

A hosted PBX runs in a data centre. Your phones and softphones register to it over the internet, so there is nothing on site to maintain, updates happen automatically, and you can add or remove extensions month to month. The catch is that voice now depends entirely on your internet connection and its quality — a business-grade link with QoS is not optional.

    How to Choose

    • Unreliable power or internet at the office: on-premise, with the trunk as the only internet-dependent part
    • Multiple small branches: cloud, so every site shares one system with no hardware each
    • Call recording for compliance, tight control: on-premise
    • Fast-growing headcount, minimal IT staff: cloud

    The Hybrid Option

Many businesses land in the middle — an on-premise PBX at the head office for resilience and control, with branch and remote staff connecting to it as remote extensions over the internet. You get local survivability where it matters and cloud-style flexibility everywhere else.
